Overseas Access to Your Information

Charter Finance employs team members who work from overseas, currently in Nepal and the Philippines. As part of their roles, these team members may access personal information that we hold in our business systems. This access supports our day to day operations, including administration, processing, and client service.

Our overseas team members are Charter Finance personnel, bound by the same confidentiality and privacy obligations as our Australian based staff. Access is limited to what each role requires.

Your personal information is held within our business systems, including our Google Workspace environment (Gmail, Drive, and Calendar). Google stores data across its global infrastructure, which means some information may be held on servers located outside Australia. Where we disclose or allow access to personal information overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.

Website Data and Cookies

When you visit our website we may collect technical information such as your IP address, browser type, pages viewed, and referring URLs. We use Google Analytics and Meta (Facebook) Pixel to analyse website traffic and improve our services. You may opt out of analytics tracking via our cookie consent settings. How Charter Finance protects your information across the website and client portal.

Our Commitment to Data Security

Charter Finance recognises that clients share highly sensitive financial information when seeking finance or financial advice. Protecting this information is fundamental to our operations.

Our data protection approach includes:

  • Restricted internal access to client data, with staff accessing only what they need
  • Secure lender portals and encrypted communications
  • Encrypted data in transit (TLS 1.3) and at rest (AES-256)

Portal Security

Access to the Charter Finance client portal is invite-only. Accounts are created by Charter Finance following client onboarding. There is no self-registration. The portal enforces the following security standards:

  • HTTPS enforced on all portal pages, with no unencrypted access permitted
  • Session timeout after a period of inactivity
  • Role-based access, so each client only sees their own information
  • Document files stored in the WordPress media library, segregated by user, accessible only to you and authorised Charter Finance staff

Document Storage

Documents you upload to the client portal are stored within the WordPress media library, segregated per user. Access is restricted to you and authorised Charter Finance staff, and these files are not made publicly accessible.

In the course of our work, we also hold client information within our business systems, including our Google Workspace environment (Gmail, Drive, and Calendar). We use these systems for correspondence, working files, and scheduling. Google applies its own security controls to this environment, and access on our side is limited to authorised Charter Finance staff.

Where Your Information Is Held and Accessed

Some of our team members work from overseas, currently in Nepal and the Philippines. They are Charter Finance personnel and may access client information held in our business systems as part of their roles. They are bound by the same confidentiality and privacy obligations as our Australian based staff.
